Inventory
Stock of every product and combination in one list, changed in place, with its full history.
On this page
Inventory shows the stock of every product in one list — and of every combination (Red / M, Blue / L…) for products you count per size or colour. Change numbers right in the list; every change, by you or by an order, is kept in the Stock history.
The list
- A product without options is one row. A product with options has a row per combination (Red / M…).
- In stock shows how many are left. Sold out marks 0, Running low marks a number at or under your low-stock level (set in Notifications).
- Filter by name, category or Stock (sold out, running low, in stock). Click Product or In stock to sort; the list starts with what is lowest.
Change one row
- Type the new number in the row's box.
- Pick Why: New stock received, Stock count, Damaged or lost, Returned by a customer or Other.
- Add a note if you like (a delivery number, say), then press Save.
Stock never goes below 0. At 0 the product shows Sold out in your shop and can't be added to a cart.
Change many rows at once
- Tick the rows (the box at the top ticks the whole page).
- In the bar at the bottom enter a number and pick Why.
- Press Set stock to to give every ticked row that number, or Add to stock to add it (a minus number takes units away).
Stock history
Stock history (top of the inventory, or on a product's edit page) lists every change, newest first:
| Why | When it happens |
|---|---|
| Starting stock | A new product or combination got its first number. |
| Sold | A customer's order took the units. The order number links to it. |
| Order cancelled | The order was cancelled — by you, or because a card payment never went through — and its units came back. |
| Edited in the product | You changed the stock in the product's own form. |
| Excel import | An Excel import set the stock. |
| New stock received, Stock count, Damaged or lost, Returned by a customer, Other | Changed here, in the inventory. |
Each line shows the change (green for units in, red for units out), what was in stock after, and who made it — a staff member's name, Customer order for a sale, or Automatic. Filter by product, reason or dates.
